    The Executive Assistant is responsible for efficient and effective operation of the office of the Administrator and maintenance of all Administrative Department files, manuals, policies and procedures, and contracts.  The Executive Assistant maintains up-to-date confidential files on all medical staff and manages the credentialing and reappointment process for each.  


    Administrative Services

    • Makes appointments for hospital personnel with the Administrator as requested; utilizes judgment in determining priorities and time commitments
    • Screens visitors and incoming telephone calls; assists Administrator by ensuring highest priority items are given first attention
    • Schedules use of meeting rooms and maintains hospital-wide calendar of events
    • Coordinates as necessary with Corporate personnel, including CEO, CFO and Vice Presidents regarding facility leadership functions
    • Handles all correspondence in a timely manner, according to professional standards
    • Maintains department files and assures they are readily accessible
    • Files current contracts and assures that appropriate actions are taken to have managers review them annually, or according to Corporate policy regarding such contracts.  Ensures that contracts are renewed and signed as necessary
    • Maintains current Administrative Policy and Procedures Manuals, using judgment to ensure that they are reviewed and updated as necessary
    • Using appropriate judgment, determines the appropriate reviewer/ approver for internal documents and expedites the review and approval processes
    • Distributes policies and related materials to appropriate departments in a timely manner
    • Develops tables, graphs, databases, and forms to support the actions of the Administrator Scans professional journals and news articles and alerts the administrator to pertinent items
    • Gathers daily financial data and prepares them for review by the Administrator.  Submits Daily Reporting Form to Corporate Office in a timely manner.  Ensures accuracy of data reported
    • Assists Administrator is developing weekly meeting agendas for managers meetings and provides working copies of all materials needed for meetings.  Records and transcribes meeting minutes and maintains a current and up to date minute book
    • Acts as relief support to Communication Clerks for coverage of breaks, meal times and as needed for absences
    • Takes, types and distributes minutes from meetings, as assigned or requested by the Administrator
    • Compiles data for daily and weekly reports
    • Handles petty cash processes for facility
    • Coordinates and processes Accounts Payable items.  Forwards to executive office for payment


    Education and Training:  

    • Associates Degree as Medical Secretary, Certification as Certified Medical Staff Secretary (CMSS) preferred. 


    • Two or more years in a medical office environment preferable in a hospital environment.

     Knowledge, Skills, and Abilities: 

    • Knowledge of and ability to interpret complex and numerous policies, regulations and procedural manuals
    • Strong verbal skills and ability to speak and write effectively
    • Knowledge of PC and MS Office, Excel and Internet programs
    • Ability to listen to dialog during meetings and take concise, accurate minutes
    • Poise and ability to deal with a wide variety of community members, employees, doctors, volunteers, and visitors to the facility
    • Ability to attend work on a regular basis and also events which occur outside of regular business hours when necessary
